1. Introduction

StockPilot ("we", "our", "us") provides an inventory and production management platform for businesses. This Privacy Policy explains what information we collect through the StockPilot application, how we use it, and the choices you have. By creating an account or using StockPilot, you agree to the practices described here.

2. Information we collect

  • Account information: business name, username/email, and password (stored as a salted hash — we never store plain-text passwords).
  • Organization data: products, stock movements, production orders, categories, work logs, and other records you or your team create while using the platform.
  • Usage data: pages visited, actions taken, and basic device/browser information, collected automatically to keep the service reliable and secure.
  • Support communications: any information you share with us when you contact support (for example, by email).

3. How we use your information

  • To provide, operate, and maintain the StockPilot platform for your organization.
  • To authenticate users and enforce role-based access within your organization.
  • To monitor account status (e.g. trial, active, past due, suspended) and communicate about billing.
  • To detect, investigate, and prevent fraud, abuse, or security incidents.
  • To respond to support requests and improve the product.

4. Data isolation between organizations

StockPilot is multi-tenant software: each business ("organization") operates in its own isolated workspace. Users in one organization cannot access another organization's products, stock, or staff data. Platform administrators may access organization data only as needed to provide support, enforce our terms, or comply with the law.

5. Data storage and security

Your data is stored using industry-standard hosting and database providers. Passwords are hashed before storage, and access to production data is restricted to authorized personnel. While we take reasonable technical and organizational measures to protect your information, no method of transmission or storage is 100% secure.

6. Data retention

We retain organization and account data for as long as your account is active. If an account is suspended or cancelled, data may be retained for a limited period to allow for reactivation or as required by law, after which it may be deleted.

7. Sharing of information

We do not sell your data. We may share information with service providers who help us operate StockPilot (such as hosting and infrastructure providers), and only to the extent necessary for them to perform those services. We may also disclose information if required by law or to protect the rights, property, or safety of StockPilot, our users, or others.

8. Your choices

  • You can review and update your account details from within the application.
  • Organization administrators can manage user access and roles for their workspace.
  • You may contact us to request deletion of your account and associated data, subject to any legal retention requirements.

9. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "last updated" date below. Continued use of StockPilot after changes take effect constitutes acceptance of the revised policy.
